What is the Next Gen Pickleball Academy?

Next Gen Pickleball Academy is a structured junior program that develops players step by step using our clear pathway system. We guide young athletes through four progressive levels:

  • Red (Beginner) – Coordination, movement, and fundamentals

  • Orange (Advanced Beginner) – Serve/return, technique, and basic strategy

  • Green (Intermediate) – Game situations, teamwork, and shot variety

  • Yellow (Advanced) – Court positioning, anticipation, advanced strategy, and tournament preparation

What does “Progress with EASE” mean?

EASE represents our four core values that guide every practice and interaction:

  • Skills: Purposeful progress in practice

  • Excellence: Preparedness, consistency, and pride in details

Cancellation Policy & Agreement

Effective Date: January 2026

Purpose

This policy ensures fairness for families while allowing us to maintain quality coaching, manage court availability, and honor our commitments to coaches and facility partners.

Session Cancellation Policy

Parent/Guardian-Initiated Cancellations

24-Hour Advance Notice (Free Cancellation)

  • Cancellations made 24 hours or more before the scheduled session will receive a full credit for a make-up session

  • Credits are valid for the current season plus 30 days

  • No refunds will be issued; credits only

Less Than 24-Hour Notice (Late Cancellation)

  • Cancellations made less than 24 hours before the session will forfeit the session

  • No credit or make-up session will be provided

  • Emergency exceptions may be granted at the Director's discretion (see Emergency Policy below)

No-Show Policy

  • Failure to attend without any cancellation notice results in forfeiture of the session

  • No credit or refund will be provided

  • Repeated no-shows (3+ in a season) may result in removal from the program

Multi-Session Package Cancellations

Before Program Start

  • Full refund minus $25 administrative fee if canceled 7+ days before the first session

  • 50% refund if canceled 2-6 days before the first session

  • No refund if canceled within 24 hours of the first session

After Program Start (Mid-Season Withdrawal)

  • Families may withdraw from multi-session packages for the following reasons:

    • Medical issues (requires documentation)

    • Family relocation (requires documentation)

    • Facility closure (automatic full credit for remaining sessions)

Refund Calculation for Approved Withdrawals:

  • Completed sessions charged at full individual session rate

  • Remaining sessions refunded at package rate

  • $25 administrative fee applies

Example:

  • 8-session package purchased: $320 ($40/session package rate vs. $50 individual rate)

  • 3 sessions completed before withdrawal

  • Refund: $320 - (3 × $50) - $25 admin fee = $145

Academy/Coach-Initiated Cancellations

Weather-Related Cancellations

  • If Next Gen or the facility cancels due to weather, families will receive:

    • First option: Rescheduled make-up session

    • Second option: Credit toward future session

  • We monitor weather up to 2 hours before session start

  • Cancellation notifications sent via email and text

Coach Illness or Emergency

  • If the assigned coach is unavailable, we will:

    1. Provide a qualified substitute coach whenever possible

    2. Offer to reschedule if no substitute is available

    3. Provide full credit if rescheduling doesn't work

Facility Closure

  • If Dill Dinkers closes unexpectedly, families receive:

    • Full credit for the missed session

    • Priority rebooking when facility reopens

Make-Up Session Policy

Eligibility

  • Make-up sessions are available only for cancellations made with 24+ hours notice

  • Credits must be used within the current season plus 30 days

Scheduling Make-Ups

  • Parents must proactively schedule make-up sessions

  • Subject to coach and court availability

  • Make-ups may be scheduled with a different coach if original coach is unavailable

  • Make-ups may be in a different format (e.g., group session if individual not available)

Expiration

  • Unused make-up credits expire 30 days after the end of the season

  • No extensions or refunds for expired credits

  • Families will receive reminders at 14 days and 7 days before expiration

Emergency Exception Policy

Qualifying Emergencies

We understand that true emergencies happen. Exceptions to the 24-hour cancellation policy may be granted for:

  • Sudden illness or injury requiring medical attention

  • Family emergency (hospitalization, death in family)

  • Car accident or breakdown en route to facility

  • School closure or emergency affecting pickup/dropoff

How to Request an Exception

  1. Contact Coach Sam or Coach Amine as soon as possible

  2. Provide brief explanation of the emergency

  3. Documentation may be requested for medical or family emergencies

  4. Decision will be made within 24 hours

Exception Limits

  • Emergency exceptions limited to 2 per season per family

  • Repeated requests may require additional documentation

  • Patterns of misuse will result in policy enforcement

Private Lesson Cancellation Policy

48-Hour Notice Required

  • Private lessons require 48 hours advance notice for free cancellation/rescheduling

  • Less than 48 hours: session is forfeited

  • Coach-initiated cancellations receive full credit or reschedule

Private Lesson Packages

  • Same multi-session withdrawal policy applies

  • Unused lessons in packages expire 60 days after first lesson

Special Circumstances

Behavioral Issues

  • If a player is removed from a session due to behavioral issues (Red Card policy), the session is forfeited with no credit or refund

  • Repeated behavioral removals may result in program dismissal without refund

Extended Absence (Injury/Illness)

  • For absences longer than 3 consecutive weeks due to injury or illness:

    • Remaining sessions may be frozen with medical documentation

    • Frozen sessions may be resumed within 90 days of original program end date

    • Request must be submitted in writing to Coach Sam

Program Changes by Next Gen

  • If Next Gen cancels or significantly changes a program:

    • Full refund or credit offered

    • Families will be notified at least 7 days in advance when possible

Include in your message:

  • Child's name

  • Date and time of session to cancel

  • Reason for cancellation (brief)

  • Preferred make-up date/time if applicable

Step 2: Wait for Confirmation

  • You will receive confirmation within 2 hours during business hours (9 AM - 8 PM)

  • If canceling after hours, you'll receive confirmation by 9 AM the next day

  • Your cancellation is not official until you receive confirmation

Step 3: Schedule Make-Up (if eligible)

  • We will provide available make-up options

  • Book your make-up session within 7 days of cancellation

  • Make-up credits tracked in our system
